What we collect

• Account: email, name (via Clerk sign-in)
• Property, lease, utility and meter data you enter
• Subscription and billing data (via Stripe)
• Your email (and optionally your name) if you leave it on the form before entering the demo or on the Excel template page — even without an account; see the section below

Purpose

Providing the service, communication, security, and processing subscription payments. We do not sell data and do not use it for advertising.

Emails from the demo and Excel template forms

On the form before entering the demo and on the Excel template page you can leave your email address (on the template page also your name, optional). Both forms are optional — you can skip the demo form, and the template downloads without filling anything in.

• Purpose: to unlock the template you asked for, or to let you view the demo, and to write to you occasionally about bigger product updates.
• Legal basis: for the product updates, your consent, given when you submit the form and withdrawable at any time (see unsubscribing below); for the template download and demo access, carrying out your request.
• Where it is stored: in our database at Convex in the EU (see processors below). Access is limited to authorized platform operators.
• Never sold: we do not sell or rent these addresses and do not share them with advertisers.
• Retention: we keep the address until you withdraw your consent or request deletion. Every such email carries a one-click unsubscribe link that works without signing in — opening it marks your address as unsubscribed in our database and we stop writing to it. You can also unsubscribe any time at info@rent-log.app.

Processors and sharing

We do not sell personal data. Access is limited to authorized platform operators and to the following contracted processors:

• Convex (Ireland, EU) — database and storage for uploaded documents. Our deployment runs in the provider’s EU region, so the database and uploaded files stay in the EU.
• Clerk (USA) — sign-in and account management
• Stripe (USA / Ireland) — subscription payment processing. We never see or store card details.
• Resend (USA) — sending email notifications to tenants
• DeepSeek (China) — only if you use automatic bill reading; see below

Automatic bill reading (OCR)

If you upload a bill PDF on the Business tier and run automatic reading, the text of that document is sent to DeepSeek, which identifies the category, amount and usage. A bill may contain a name, an address and a metering point. The feature is optional — if you do not use it, nothing is sent to DeepSeek. Entering amounts by hand is always available.

International transfers

Data in our database at Convex stays in the EU — the deployment runs in the provider’s Ireland region, so it is not a transfer to a third country. Data does go outside the EU to Clerk (sign-in and account management, USA), Resend (email sending, USA) and Stripe (payment processing, USA / Ireland), and to DeepSeek (China) only if you use automatic bill reading. Those transfers rely on the European Commission’s Standard Contractual Clauses or another appropriate safeguard under Chapter V of the GDPR.

Retention

We keep data while your account is active. After account deletion or on request, we delete data unless the law requires otherwise. Emails from the demo or template forms are kept until you withdraw your consent — via the unsubscribe link in a message, or by email — or request deletion.

Service discontinuation

If the service were discontinued, we would notify users (where we have an email address) and allow data export or deletion before shutdown.
